How training at Department of State has improved asset management, workforce effectiveness, and cost reduction
A properly trained workforce is a critical component to running an effective global facilities management department. A well-resourced training program is the best approach to ensure that your facilities assets and workforce are fully functional. The Department of State Overseas Buildings Operations Department Facilities Management Department (OBO/FM) presentation will show you how they expanded their training program, custom designed asset specific training programs, and utilized professional FM videography on a streaming platform to bring high quality technical training to all of the Embassies and Consulates. The presenters, Eric Guthrie and Maurice Pettiford, will show how this investment in training has saved OBO/FM money and increased their compliance with the Federal Buildings Personal Training Act (FBPTA). Further, we will reinforce how a strong workforce development supports your asset management strategy and the performance of your facilities.

IFMA Credentials Benefits Research

Music City Center Facility Tour
Music City Center makes it a priority to focus on environmental sustainability. Designed by Atlanta-based Thompson, Ventulett, and Stainback Associates and Nashville-based Tuck Hinton Architects and Moody-Nolan Architects, the 1.2 million square foot Music City Center was designed and constructed with sustainability in mind. Our facility is certified LEED Gold by the U.S. Green Building Council. Our high-performance building envelope is equipped with a 4-acre green roof, array of 845 solar panels and energy efficient technology. The green roof is an impressive sustainable feature of the building. The Green Roof helps insulate the large Exhibit Halls beneath, helping to reduce the amount of energy needed to heat and cool the building. It is made up of 14 different kinds of sedum plants and a waterproofing membrane. Sedum plants are drought and heat tolerant, which is necessary to withstand living on top of a building. These layers help reduce the urban heat island effect by lowering air temperatures and help improve storm water management by absorbing more water that would otherwise runoff into our local bodies of water, collecting pollutants along the way. In FY 2019, we collected over 3 million gallons of rainwater from our Green Roof, reducing our municipal water usage by 51%. Our bees also call the Green Roof home. We keep hives on the roof to support the bee population in Nashville and provide pollinators for the many green spaces downtown. The honey produced each year is used in our kitchen. Our partners from the Nashville Area Beekeepers Association help our Bee Team manage the hives year-round. Energy efficiency and conservation are priorities at Music City Center. During the design and construction phase, optimized energy systems were attained using enhanced energy modeling. We have high performance HVAC systems and variable frequency drives to enhance motor, fan and pump performance. Building lighting systems are customizable and controlled by our state-of-the-art automated lighting program. Occupancy sensors and scheduling programs are utilized throughout the building to reduce overall energy consumption. Above the guitar shaped roof of the Grand Ballroom, an 845-panel solar array produces renewable energy for our building. Vanderbilt University Powerhouse Facility Tour
Vanderbilt’s method of generating power on campus has transformed throughout the years. Between 1888 and the mid-1920s, Vanderbilt relied on the Mechanical Engineering Hall’s boiler. Its steam provided heat and its generator produced electricity for all of campus. A new power plant was constructed between 1925 and 1927, this time operating off coal-fired boilers. Coal-fired boilers continued to be the campus’ main source for generating power until 1988 when the first natural gas boiler was introduced, converting Vanderbilt’s power plant to a dual-fueled cogeneration power plant. The cogeneration process was highly efficient, using backpressure and condensing turbines to ensure maximum performance. In 2000, Vanderbilt began to expand and diversify its power generation, installing natural gas turbines, electrical generators, heat recovery steam generators, and even a small amount of solar panels.

A Practical Approach to Hybrid Workplace Technologies
Remote work is now a “general purpose technology” like electricity or the internet and, as a result, ‘Employees are designing the workplace of the future.’ These two statements from Quartz and Tech Crunch reflect the reality of the workplaces we support today. Advanced Surveying Technologies and Building Information Modeling (BIM) for Asset and Facilities Management
Advanced surveying technologies have revolutionized the speed, accuracy, and coverage for mapping building and facilities. These technologies provide multiple new tools to be used in 3D Building Information Modeling (BIM) and Virtual Design and Construction (VDC). 3D laser scanning uses harmless light to map facilities from a variety of surveying instruments, includes tripod-mounted scanners, mobile/aerial LiDAR scanners, and drones. These instruments rapidly map projects of any size and complexity, from small buildings to entire campuses. Intelligent 3D CAD models of existing conditions can be produced from their outputs, which become living digital documents and repositories of information for design and asset management. Unmanned aerial systems (UAS) and drones are quickly entering these workflows as well. Finally, GIS tablets and augmented/virtual reality goggles are showing promise to aid engineers and contractors in the field.

Building a Sustainable Future for FM Part 2
The gap between available FM talent and job demand is widening. The FM profession has evolved beyond buildings to touch nearly every aspect of a company, from operations and human resources to finance and technology. FMs work across business functions, making strategic and tactical decisions that impact space, services, costs, and risk. Yet FM does not necessarily require an advanced educational degree, years-long training to get started, or a prescribed progression from one job title to the next in order to advance. This presents incumbent workers, the unemployed and underemployed, and youth seeking career direction with an opportunity to enter an industry facing a significant labor shortage. Learn how the IFMA Foundation’s Global Workforce Initiative (GWI), three IFMA chapters, and GWI Advisors (JLL, Sodexo, ABM) are attracting diverse talent to FM and supporting their long-term growth through continuous training and education to ensure the continued sustainability of the FM profession.

Rightly so, building owners are taking a closer look at their building and parking structures in the wake of the Surfside Condominium Collapse in Miami. While it could take years for the investigation to be completed, there are many clues included in previous inspection reports and photographs taken of the aftermath. These clues point to typical causes of deterioration to any type of structural system including reinforced concrete, precast, masonry, structural steel, and wood framing. This presentation will address each of these structural systems including photographs of typical deterioration and how deficiencies are identified. Since most structural deficiencies result from water intrusion, building roofing and waterproofing will also be addressed. An overview of inspection laws, standards, and checklists will be discussed and provided. Learn why and how building owners and facility managers are managing their risk by conducting structural condition assessments of priority buildings in their real estate portfolios.

Chemistry 101 for Building Managers
Facility managers are charged with maintaining healthy built environments. With the flux of tenants and occupants, there is a constant flow of materials being moved in and out of a facility. These facility materials may be in the form of renovation construction materials or technology equipment. Often, materials arrive with possible unknowns and unintended consequences. In this session, you will learn the basic chemistry behind how common indoor air pollutants behave. Understanding this basic behavior will help you manage the air quality in the built environment. Knowing which products will off gas over a short time period versus which will accumulate in dust over the duration of their lifespan will have significant implications on mitigation strategies. Designing for Diversity, Equity and Inclusion: Steps to Creating Workplace Inclusion
COVID-19 has shed new light on age-old problems: social inequity, systemic racism, and social injustice. The built environments that we live, work and play in impact each of us in various ways. To design space that is inclusive, it’s important to understand how space affects people from various perspectives and characteristics – be that Racial, Gender, Sexual Orientation, Ethnic, Socio-economic, Age, Physical Abilities, Mental Health or Religion.
We all have unconscious biases. As design professionals we can make a difference by understanding that we all experience things differently. We must design environments that welcome all and foster social equity.
We must embrace the principles of universal design whereas the design of buildings, products and environments are made to be accessible to all. We need to explore how to create spaces that are more physically and culturally inclusive for people to allow them to thrive.

Facility Management, Balance Scorecard, Performance, Practice, Innovation, Technology, Tertiary Institution
Using Federal Polytechnic, Auchi as a case study, this paper appraises the performance of facilities management practice in Nigerian polytechnic using a balanced scorecard approach. Purposive sampling technique was employed to select the staffs (both technical and managerial) in works and physical planning department of the polytechnic. A structured questionnaire and oral interview was adopted for data collection. Both descriptive and inferential statistics were adopted to data analysis. Findings indicated a least rating of learning and growth perspective in the balance scorecard adopted in facilities management practice. These perspective include adoption of innovative technologies, and staff development programmes. This paper therefore recommends that facility managers should focus more on staff competencies upgrade and development, as its imperative to sustain the necessary efficiency and productivity of the tertiary institutions.

From Design to Construction - Successful Transition to Sustainable Operations
While facility management is making strides in getting invited to participate more and more on the front-end of construction projects, there is still a wide gap between design and construction and the hand-off to facility operations. The fumbling of this transition is very costly to the organization and has significant consequences on efficient operations and occupant satisfaction. We spend too much time and money cleaning up issues that should have addressed prior to construction and acceptance. There is much we can and should do by partnering with our design and construction colleagues to implement reasonable standards and practices that benefit all stakeholders. How to Manage Narcissists, Naysayers, and Know-It-Alls
At one time or another, most of us have had the unpleasant experience of working with or working for problematic people. We may have even read a book or attended a session on “Dealing with Difficult People.” But, what if you are facing the worst of the worst when it comes to difficult people? We are not talking about the average “Negative Nellies” or “Gary Grumblers.” Those two are downright pleasant compared to these personalities. Do you have the skillset to effectively handle such people, or better yet, the techniques to weed out these bad actors during the interview phase? Reimagining Buildings with AI and Digital Technologies

Safe to Reoccupy – Solving the COVID-19 Indoor Air Crisis
COVID-19 exposed the inability of buildings to mitigate the transmission of airborne disease in the interest of occupant health safety. To plan for safe re-occupation of their facilities, The New School engaged the expertise of its School of Constructed Environments to assess the effectiveness of in-room ultraviolet air disinfection. This session will provide a fascinating overview of ultraviolet germicidal irradiation (UVGI) science and technology and explain why UVGI is considered the essential engineering intervention for combating the spread of diseases such as COVID-19, how The New School conducted its research, and how its findings are informing a path forward for its facilities. Attendees can use this knowledge to make informed decisions as to the most cost-effective building upgrades for safely re-occupying indoor spaces. Science Based Targets and Healing the Planet – An Architect’s Journey
In this presentation, we will share how an interior architecture firm took the first steps to publicly declare their commitment to reducing our global carbon footprint. Collaborating closely with a sustainability consultant, Brightworks, our firm gathered the pertinent data to establish a baseline and strategized on what the commitment would mean in terms of making meaningful reductions in direct emissions (Scope 1), indirect emissions (Scope 2), and all other emissions (Scope 3) for the Science Based Targets Initiative program. This was an eye opening process that encourages new behaviors and practices. We will share lessons learned and discuss how this process holds implications for supplier and partner selection, as well as demonstrating how a company can have a positive environmental impact on our industry.

The Fundamentals of AV Technologies for Facility Managers
IFMA formed an alliance with AVIXA, the leading AV Association. AV is the intersection of content, technology, and space. The AV industry is the community of manufacturers and myriad professionals that provide the tools and expertise necessary to convey ideas and enhance communication in virtually every human arena. On October 29th of 2021 members from the WE and IT Communities presented two sessions at INFOCOMM in Orlando, AVIXA’s premier event. During the time between sessions the IFMA members concluded that there was not a resource guide for Facilities Managers that on AV technologies. BETA and the IT Community aligned with CCS Presentation Systems to develop “The Facility Managers Guide to Audio Visual Technology”
This session provides the fundamentals of that publication and an open forum to discuss the importance of AV Technologies in the Commercial Built Environment.

The ROI of HVAC Restoration
This presentation will outline the viability of restoration for aging HVAC equipment and the return on investment. It will demonstrate with the support of case studies: Performance improvements in CFM, Static Pressure, Cooling Capacity, corresponding energy efficiency gains and CAPEX savings. An in-depth look at the process of reconditioning the HVAC system will also be covered. This includes steam coil cleaning, specialized coatings, closed cell insulation and an ECM fan array upgrade. Restore in place options will also be discussed for equipment located in areas not feasible for replacement. Ultimately, HVAC restoration is a sustainable, less disruptive, more cost effective solution than replacement and can pay for itself in energy savings. Interactive aspect will include asking FM's for their experience related to their own air handlers and the challenges they face. They will have the opportunity to share with the audience their solutions and contribute to add value.

The Role of the Facility Manager in Fire Sprinkler Inspection, Testing, and Maintenance
NFPA 25, Standard for the Inspection, Testing, and Maintenance of Water-Based Fire Protection Systems, details requirements for ensuring that the sprinkler systems in our buildings can be depended upon in the event that they are needed. The standard places much of this responsibility on the building owner or their designated representative. This session will describe those responsibilities, discuss what they mean, detail the responsibilities of the ITM service provider, and detail the level of inspection, testing, and maintenance that is required. With this information facility managers will be able to better understand their role in ITM activities, improve communication with service providers, and allow for more confidence in managing those relationships.

Using Your Capital Wisely: What Every FM should Know About Operational and Capital Planning
Facility managers, especially those responsible for large portfolios, often struggle to balance day-to-day maintenance needs with long term asset preservation and other requirements for programmatic facility changes. Shrinking operational budgets, increasing deferred maintenance, and an organizational bias towards new construction rather than maximizing the life of existing facilities can lead to a sense of impending doom: “Why doesn’t anyone else see the problem? How much longer can this go on before we have a major system failure?” This presentation will help facility managers think about facility planning using economic principles for long-term management and help them shape future approaches for management of their portfolios.

“One of these things is not like the others” - the ‘Building Loss Factor’ - calculating and comparing the true ‘occupiable' area of buildings
Why do buildings, which appear equal – having the same floorplate size, provide very different occupiable areas?
This difference can be answered by understanding the "Building Loss Factor". The Building Loss Factor is the percentage of occupiable area which is lost due to building/floor plate inefficiencies. Whether the Facility Professional is looking to lease, buy, or reorganize real estate, it is critical to understand how buildings compare relative to the occupiable space they provide. This knowledge will enable the FM professional to more accurately, forecast and plan their real estate portfolio to maximize its value to the organization.
